AI World Memorials respects the privacy of the families and individuals who use our memorial services. This Privacy Policy explains how we collect, use, store, share, and protect information provided through AI World Memorials and aiworldmemorials.com.
1. Information We Collect
When you use AI World Memorials, we may collect information including:
- Your name, email address, telephone number, and relationship to the deceased.
- The deceased person’s name, dates of birth and passing, obituary, biography, service information, and memorial details.
- Photographs, video recordings, audio recordings, music, written reflections, and other materials submitted for creation of a memorial.
- Memorial design selections, instructions, approvals, and correspondence.
- Guestbook entries, reflections, and other information voluntarily submitted through memorial features.
- Basic technical information generated when you use our website, such as browser, device, IP address, and website activity, where applicable.
Please do not submit information that is unnecessary for creation or administration of the memorial.
2. How We Use Information
Information submitted to AI World Memorials may be used to:
- Create and administer digital memorials.
- Design printed obituaries and memorial materials.
- Produce memorial photographs, videos, audio, graphics, and other requested content.
- Communicate with the designated family representative.
- Send proofs and obtain family approval.
- Provide family media-upload and memorial-management services.
- Process and administer orders and services.
- Maintain, secure, troubleshoot, and improve our website and services.
- Meet legal, regulatory, fraud-prevention, or security requirements.
We do not sell family memorial information or submitted memorial media to data brokers or advertisers.
3. Family Media and Google Drive
AI World Memorials may use Google Drive to receive and organize photographs, videos, music, audio, and other memorial-production materials.
When a Family Intake is accepted, AI World Memorials may create a dedicated project folder and provide the designated family representative access to a family-specific media-upload folder.
Families should use only the upload folder assigned to their memorial and should not share their private upload link with unauthorized persons.
Google’s own privacy policies and terms also apply when Google Drive is used. Google states that Drive files are encrypted in transit and at rest.
4. Family Representative
The person submitting a Family Intake represents that they are authorized to act as the designated family representative or otherwise have permission to provide the submitted information and materials.
The representative is responsible for providing accurate contact information and for notifying AI World Memorials if authorization changes.
5. Photographs, Video, Audio and Likenesses
By submitting photographs, video, audio, written materials, voice recordings, or likenesses, you represent that you have the authority or permission necessary for AI World Memorials to use those materials to provide the requested memorial services.
Ownership of materials submitted by a family is not transferred to AI World Memorials merely because those materials are uploaded for memorial production.
6. AI-Assisted Production
AI World Memorials may use artificial-intelligence-assisted tools as part of its human-directed creative and production process.
These tools may be used for tasks such as image enhancement, restoration, editing, design, video production, audio processing, transcription, or other memorial-production functions.
When a realistic digital likeness, synthetic voice, or other significant AI-generated representation of an identifiable person is proposed, additional authorization or approval may be required.
7. Public Memorial Information
Families should understand that information intentionally approved for a published memorial—including names, photographs, obituary information, videos, reflections, or other memorial content—may become publicly accessible through the memorial webpage.
A QR code printed on memorial materials may provide direct access to that public memorial.
Do not approve information for publication that you wish to remain private.
8. Service Providers
We may use third-party service providers necessary to operate the service, such as website hosting, cloud storage, email, payment processing, security, and production technology providers.
Information is shared with such providers only as reasonably necessary to perform the applicable service, subject to their respective terms and privacy practices.
9. Information Security
AI World Memorials uses reasonable administrative and technical measures intended to protect information under our control. However, no website, electronic transmission, or cloud-storage system can be guaranteed to be completely secure.
Families are responsible for protecting private upload links, account credentials, and other access information provided to them.
10. Retention and Removal
AI World Memorials may retain project materials for as long as reasonably necessary to produce, maintain, support, or document the memorial and related services.
Families may contact AI World Memorials regarding correction or removal of information under our control, subject to contractual, operational, archival, legal, and recordkeeping requirements.
Published memorial content may also have been copied, downloaded, cached, or otherwise preserved by third parties beyond our control.
11. Children’s Information
AI World Memorials does not knowingly collect personal information directly from children through the Family Intake process without appropriate adult involvement.
Memorials concerning deceased minors may be created when submitted and authorized by an appropriate parent, guardian, or family representative.
12. Changes to This Policy
We may update this Privacy Policy as our services, technologies, or legal requirements change. The effective date displayed at the top of this page indicates the current version.
